Transforming Environmental Services with “Confirm” Asset Management Software
In my role as a project manager during 2018 and 2019, I had the privilege of overseeing the Environmental Services build on behalf of the Council. Our mission was clear: to seamlessly integrate the “Confirm” asset management software into the council’s operations. The successful execution of this project was pivotal, especially considering the impending launch of a new £4.2 million Grounds and Cleansing contract with a fresh service provider on April 1, 2019.
Navigating the Project Landscape: Key Tasks
Beyond traditional project management responsibilities, my team and I tackled several critical tasks:
-
Scoping System Requirements: Meticulously defined the software’s functional and technical needs. Understanding the intricacies of Environmental Services allowed us to tailor “Confirm” effectively.
-
Workflow Process Design: Streamlining existing workflows was essential. Reimagined processes, eliminating bottlenecks and enhancing efficiency.
-
Defect List Management: Identifying and addressing software defects ensured a smooth transition. Our goal was flawless implementation.
-
SOR (Schedule of Rates) Lists: These lists formed the backbone of our cost management strategy. Accurate SOR's were crucial for financial planning.
-
Condition Survey Integration: Integrated existing condition surveys into “Confirm.” This data formed the foundation for informed decision-making.
-
Feature Group and Type Specifications: Customizing the software to match our unique requirements involved defining feature groups and types. Precision mattered.
-
Asset Data Manipulation: Migrating asset data from legacy systems was a delicate process. We ensured data integrity during import.
-
User Acceptance Testing (UAT): Rigorous UAT involved engaging end-users. Their feedback shaped the final product.
-
Training Telford & Wrekin Staff: Empowering staff to use “Confirm” effectively was non-negotiable. Training sessions bridged the knowledge gap.
-
Front-End Interface Enhancements: Collaboration with Microsoft Dynamics experts to refine the customer interface. User-friendly forms were essential.
Post-Installation: Pioneering System Development
Following the successful installation of “Confirm,” my focus shifted to ongoing system development within Environmental Services. Here are some notable achievements:
-
Play Inspection Regime: We established a robust play inspection system, importing surveys and equipment data. Safety and compliance were paramount.
-
Memorial Headstone Survey: Sensitivity and accuracy guided our approach to memorial headstone management. “Confirm” facilitated efficient tracking.
-
Ash Dieback Survey Program: Given the urgency of addressing ash dieback, we set up a comprehensive survey program. Early detection was critical.
-
Contract Management: Managing new contracts and contractors seamlessly integrated with “Confirm.” Transparency and accountability were central.
-
Dashboard Development: Visualizing data became effortless with customized dashboards. Decision-makers had real-time insights.
-
Digitization of Additional Surveys: Beyond the basics, we digitized litter bin condition assessments. Efficiency gains were substantial.
-
Inspection Routes and Repeating Jobs: Creating optimized inspection routes and automating repeating tasks streamlined field operations.
